Summary Objectives: Record linkage, the process of bringing together separately compiled but related records from different databases, is essential in many areas of biomedical research. We developed a record linkage program (EpiLink), which employs a simple mathematical approach. We describe the program and present results obtained testing it in a linkage task. Methods: EpiLink was designed to be flexible with user-friendly settings to tailor linkage and operating parameters to specific linkage tasks, and employ deterministic, probabilistic or sequential deterministic-probabilistic linkage strategies as required. The user can also standardize data format, examine linkage results and accept or discard them. We used EpiLink to link a subset of cases of the Lombardy Cancer Registry (20,724 records) with the Social Security file of the population (1,021,846 records) covered by the registry. The linkage strategy was deterministic, followed by several probabilistic linkage steps. Results: Manual inspection of the results showed that EpiLink achieved 98.8% specificity and 96.5% sensitivity. Conclusions: EpiLink is a practical and accurate means of linking records from different databases that can be used by non-statisticians and is efficient in terms of human and financial resources.

Obtaining and maintaining accurate records of reindeer (Rangifer tarandus) herd data has become a necessary tool for efficient herd management. A computerized record keeping and reporting system was developed due to the speed which which animals were seen at the seasonal handlings. Custom software was written using the dBASE III + data management package to handle the special needs of herd record keeping. The software was then compiled using the Clipper compiler. The resulting program and data were implemented in ramdisk on a Toshiba 3100 microcomputer. Data structures were carefully chosen to provide for recording of tag identification, sex, age, body weight, abnormalities, disease testing, and treatments for each deer. Additionally, fields were provided to maintain records of ongoing biologic experiments. A report generation program was written to provide a current herd status report to the herders.

This paper evaluates the keywords and subject areas in records management (RM) publications, as indexed in the Scopus database, with a view to mapping RM research from 1971 to 2018 so as to determine the direction of research in the field. A total of 4 762 documents were obtained from the Scopus database using the term records management and searching within the title, abstract and keywords fields. The data was analysed using VOSviewer software. The findings reveal that interest in RM research has grown as the volume of publications has continued to increase. Whereas there was no dominant area of research in the 1980s, as far as RM research is concerned, the main focus in the 2010s was the management of electronic health records, thereby signalling a shift in RM research from being just an information management exercise to being used for the management of records in the medical and health sector. Other popular research areas in the 2010s were health care, electronic medical record/s, information management, medical computing, information systems, and electronic document exchange. A classification of the RM publications according to Scopus’s broad subject fields revealed that RM research is mainly conducted in computer science, engineering, medicine, and the social sciences. The study predicts a slow growth in the number of RM publications in the next ten years (2019-2028), greater focus on RM in the health sector, and continued dominance of computer-based systems and electronic records as topics of RM research.

Purpose.Electronic health record systems provide great opportunity to study most diseases. Objective of this study was to determine whether electronic medical records (EMR) in ophthalmology contribute to management of rare eye diseases, isolated or in syndromes. Study was designed to identify and collect patients’ data with ophthalmology-specific EMR.Methods.Ophthalmology-specific EMR software (Softalmo software Corilus) was used to acquire ophthalmological ocular consultation data from patients with five rare eye diseases. The rare eye diseases and data were selected and collected regarding expertise of eye center.Results.A total of 135,206 outpatient consultations were performed between 2011 and 2014 in our medical center specialized in rare eye diseases. The search software identified 29 congenital aniridia, 6 Axenfeld/Rieger syndrome, 11 BEPS, 3 Nanophthalmos, and 3 Rubinstein-Taybi syndrome.Discussion.EMR provides advantages for medical care. The use of ophthalmology-specific EMR is reliable and can contribute to a comprehensive ocular visual phenotype useful for clinical research.Conclusion.Routinely EMR acquired with specific software dedicated to ophthalmology provides sufficient detail for rare diseases. These software-collected data appear useful for creating patient cohorts and recording ocular examination, avoiding the time-consuming analysis of paper records and investigation, in a University Hospital linked to a National Reference Rare Center Disease.

The web application is meant to manage personnel of any given organization, providing strong functionalities developed in modules such as; personnel information management module, training information management module, leave management module, resume management module, appraisal management module, document management module, reporting module and payroll management module. This applies to a lot of third world countries especially in Nigeria where interest e-commerce is fast growing. The system was evaluated using software performance methods where a reasonable performance was achieved as compared to state of the art software.

Background Documentation of key times and events is required to obtain reimbursement for anesthesia services. The authors installed an information management system to improve record keeping and billing performance but found that a significant number of their records still could not be billed in a timely manner, and some records were never billed at all because they contained documentation errors. Methods Computer software was developed that automatically examines electronic anesthetic records and alerts clinicians to documentation errors by alphanumeric page and e-mail. The software's efficacy was determined retrospectively by comparing billing performance before and after its implementation. Staff satisfaction with the software was assessed by survey. Results After implementation of this software, the percentage of anesthetic records that could never be billed declined from 1.31% to 0.04%, and the median time to correct documentation errors decreased from 33 days to 3 days. The average time to release an anesthetic record to the billing service decreased from 3.0+/-0.1 days to 1.1+/-0.2 days. More than 90% of staff found the system to be helpful and easier to use than the previous manual process for error detection and notification. Conclusion This system allowed the authors to reduce the median time to correct documentation errors and the number of anesthetic records that were never billed by at least an order of magnitude. The authors estimate that these improvements increased their department's revenue by approximately $400,000 per year.

Abstract The key objective of the NOAA Climate Data Record (CDR) program is the sustained production of high-quality, multidecadal time series data describing the global atmosphere, oceans, and land surface that can be used for informed decision-making. The challenges of a long-term program of sustaining CDRs, as contrasted with short-term efforts of traditional 3-yr research programs, are substantial. The sustained production of CDRs requires collaboration between experts in the climate community, data management, and software development and maintenance. It is also informed by scientific application and associated user feedback on the accessibility and usability of the produced CDRs. The CDR program has developed a metric for assessing the maturity of CDRs with respect to data management, software, and user application and applied it to over 30 CDRs. The main lesson learned over the past 7 years is that a rigorous team approach to data management, employing subject matter experts at every step, is critical to open and transparent production. This approach also makes it much easier to support the needs of users who want near-real-time production of CDRs for monitoring and users who want to use CDRs for tailored, derived information, such as a drought index.

Summary Objectives: Record linkage between data sets is relatively simple when unique, universal, permanent, and common variables exist in each data set. This situation occurs infrequently; thus, there is a need to apply probabilistic methods to identify corresponding records. DataLink has been tested to determine if the use of clustering techniques will improve performance with a minimum decrease in accuracy. Methods: The study uses cancer registry data which includes hospital discharge and pathology reports from two hospitals in the Murcia Region for the years 2002-2003. These data are standardized prior to running DataLink. The original version of DataLink compares all of the records one by one, and in two later versions of the software clustering is applied which filters for one or more variables. Computing time and the proportion of detected matches have been investigated with each version. Results: The clustering versions achieve 96.1% and 96.2% accuracy, respectively. An improvement in the computational time of 97.3% and 98.6% is achieved for the two clustering versions compared with the original. The clustering versions lose 0.36% and 1.07% of real duplicates, respectively. Conclusions: DataLink implements deterministic and probabilistic record linkage to eliminate duplicates and to merge new information with existing cases. The standardization of variables to a common format has been adapted to the characteristics of Spanish language data. Clustering techniques minimize computational time and maximize accuracy in the detection of corresponding records.

This article introduces an electronic records preservation mechanism designed by the National Archives Administration (NAA) for use by Taiwan's governmental agencies. This mechanism is based on migration technologies using encapsulated XML files as the preservation units. NAA implemented a pilot programme in 2004 to test the feasibility of an electronic records preservation software system. Based on the results, NAA started in 2006 to draft management regulations for governmental agencies related to the preservation of electronic records. In April 2011 NAA launched an Electronic Records Technical Service Center to provide consultation to record managers about preservation technologies. Under the service center, NAA also established an electronic records preservation laboratory, responsible for developing tools to enhance electronic records preservation capabilities for governmental agencies.

It then describes the proposed software named Institutional Research Records Management System or IRREMS. The software provides a systematic way of managing records of institutional researches conducted by both the teaching and non-teaching personnel of the University. It keeps track of researchers’ information, as well as organizes the researches in a way that allows for easy access and retrieval through the use of search keywords. The study presents the requirements specification, software process model, software design, and the software development methodology used to create the technical output, which was successfully deployed in the Center.

Reference management software (RMS) is the most important aspect that is essential for all levels of researchers. They are established as research tools to help scholars in organising their work, improving workflows, and ultimately saving time. Choosing an appropriate RMS for managing records and utilising the bibliographic citation has been a challenge among researchers. They always seek for the features of an appropriate RMS prior to making an investment to buy the software. In this paper, a fuzzy logic approach is adopted for assessing the features of RMS from the researchers’ perspectives. Accordingly, a web-based survey was conducted and data collected from the researchers who had experience with different types of RMS. Then, we analyse the effects of RMS features on researcher perception in selecting an appropriate reference management program and find the importance level of those features. This study provides a toolset for RMS developers to identify the importance level of RMS features and accordingly consider these important features in developing the next generation of citation management software.

However, EMR Assessment by Kenya National Aids Control Program (NASCOP) and Division of Health Information System, done earlier identified various EMR systems and other software that are supporting the provision of health care in the country. These software were grouped as; Patient Management Software(e.g.,, C-PADComprehensive Patient Application Data base, OpenMRS-Open Medical Records Software, IQ-CARE and EDPMS), Hospital HMIS Software /ERP Systems, Data Collection and Reporting Software( e.g., C-PAD, OpenMRS, IQ-CARE, EPI-INFO), Data Analysis Software (Kang’a et. al., 2017). This study sought to examine Electronic Medical Records software types in use within Kisumu County. The target population was 525 EMR staff from 7 Sub Counties (clusters) and a sample size of 227 (apportioned to three Sub Counties selected purposively). However, the research intended to reach a sample size of 227 respondents; only 163 out of 227 (72%) questionnaires were received from EMR software users. Data was collected using questionnaires. Descriptive statistics was used to analyze data using Statistical Package for Social Scientist version 22.0.

ABSTRACTThis paper discusses how the processes of Continuing Airworthiness Management Organisations can be made more efficient by applying Lean principles and digital solutions, to obtain costs savings and improved compliance standards. Lean management is the process of eliminating waste by maximising value through balancing workloads and cutting out inefficient processes. Though Lean was initially applied to manufacturing production lines, an opportunity exists to apply the principles of Lean in airworthiness management. One such aspect of airworthiness management is the processing of records which is an essential part of safety and compliance. Software solutions designed with Lean philosophy and focus on airworthiness management processes can provide benefits in managing the flow of records and extracting actionable information from them for cost reduction and improving safety. Further value can be extracted by applying additional software solutions that will lay a strong foundation for machine learning and predictive analytics – taking aircraft maintenance from a reactive model towards a proactive model.

The aging of the world’s population and the growth in the number of people with chronic diseases have increased expenses with medical care. Thus, the use of technological solutions has been widely adopted in the medical field to improve the patients’ health. In this context, approaches based on Cloud Computing have been used to store and process the information generated in these solutions. However, using Cloud can create delays that are intolerable for medical applications. Thus, the Fog Computing paradigm emerged as an alternative to overcome this problem, bringing computation and storage closer to the data sources. However, managing medical data stored in Fog is still a challenge. Moreover, characteristics of availability, performance, interoperability, and privacy need to be considered in approaches that aim to explore this problem. So, this article shows a software architecture based on Fog Computing and designed to facilitate the management of medical records. This architecture uses Blockchain concepts to provide the necessary privacy features and to allow Fog Nodes to carry out the authorization process in a distributed way. Finally, this paper describes a case study that evaluates the performance, privacy, and interoperability requirements of the proposed architecture in a home-centered healthcare scenario.

In a tertiary hospital that receives over 1500 new patients per year and manages about 5000 known patients per year, it is important to provide a fast, less cumbersome way of storing data. To show that a mobile application used in a hospital setting can reduce the time spent by patients in accessing healthcare. 2. To show the medical information collected by a mobile medical application is reproducible, and secure. 3. To show that deployment of an electronic mobile health application for patient health care is both possible and necessary. Strategy/Tactics: A Web-based application was developed to be used as an electronic medical record. It was used in the oncology clinic of a tertiary institution in Lagos, Nigeria to take history and record examination findings as well as other aspects of personal medical data from new patients presenting in the clinic. The information so gathered was saved online on a cloud service and a copy was printed and placed in the hospital's paper-based records to reduce the stress of transitioning from paper-based records to electronic records. The application was built using C# for the backend, ASP.Net , HTML5, jQuery, JavaScript, Microsoft SQL database, jQuery Select 2 and jQuery for easy upgradability. Program/Policy process: A pilot study was carried out in which new outpatients were seen first with the application. Their history was taken and entered into the software. The examination findings and a summary of their investigation results were also entered into the software. A pdf file containing a summary of the data so entered into the software was generated automatically and printed. This printed copy of the patients' information was placed in the hospital's folder for review. Outcomes: 1. Stress of capturing and documenting patients data were grossly reduced in the clinic. 2. Time taken for patient assessment was reduced. 3. Data could be accessed anywhere online for the first time. This will facilitate telemedicine and research. What was learned: 1. Oncologists went through less pressure when attending to patients with this application as the intuitive outlook made clerking easy. 2. Access to steady Internet coverage and a stable power supply are issues to be tackled using this system. 3. There is a definite demand for just such a system both among patients and care givers. In modern conditions, the traditional manual manner of working with documents in business is replaced gradually by the most rational methods of conducting digital office using a personal computer. Nowadays in the software market there is a wide enough choice of various programs for personnel records management at the company. However, the best properly choice often has difficulties connected with the juridical status of the real consumer of the software, the purpose of its activities, computer literacy of workers and the current experience of using a particular software package. The relevance of the problem is due to the fact that the state character of the work and the specific legal framework of the state institution differ significantly from the one of doing business by commercial (private) enterprises, on which are mainly focused the majority of the human resources software applications. The situation of the issue of electronic personnel records management in state institutions was analyzed on the pat-tern of experience with personnel documentation established in the State Committee on Price Policy of the Republic of Sakha (Yakutia). The main aspects of the paperless office work was studied, covering a variety of procedures and routine works with documents, as well as the software itself for dealing with documents of the personnel database of the institution. The article presents the results of studying indicators of electronic document administration and comparative analysis of options for professional personnel management programs. It was noted that at the moment the level of electronic personnel records management in the state institution does not yet fully meet the requirements of modern digital personnel documents management. It was concluded that the destination of further improving the activity of the state institution and raising work on personnel records administration and HR management to a higher level could be solved only if the digital document system for personnel records and accounting will be applied with an operatively updated package of legislative and regulatory framework.

In spite of the huge number of legislative acts the problems still remain. The author notes that archivists in their work with Erecords strongly depend upon the hardware and software used for creating and operating E-records, but that does not mean they should stay outside the process. They should feel free to state their demands and to warn about the danger of loss of documents and information if ignored. The quality solutions of the problems are possible only on the basis of close cooperation of records managers, archivists and specialists in the sphere of information technologies.

318 Background: EMRs are devised to improve the quality and efficiency of healthcare delivery and to reduce medical errors. Despite the widespread use of EMRs, various factors can limit their effectiveness in improving healthcare quality. General EMR use has been cited as a factor contributing to increased workload and clinician burnout in oncology and other specialties. The objective of this qualitative research study was to identify barriers perceived by medical oncologists and hematologists (mO/H) in utilizing EMR software and factors associated with levels of satisfaction. Methods: Between January and April 2021, mO/H from across the U.S. were invited to complete a web-based survey about various trends and critical issues in oncology care. Demographics about the physicians and characteristics of their practices were captured as well in the survey. Responses were aggregated and analyzed using descriptive statistics. Results: A total of 369 mO/H completed the survey: 72% practice in a community setting; 47% identified as a hospital employee; they have an average of 19 years of clinical experience and spend on average 86% of their working time in direct patient care, seeing 17 patients per day on average on clinic days. Most (99%) of mO/H surveyed use an EMR software at their practice, with Epic (45%) and OncoEMR (16%) being the most common. Regarding satisfaction, 16% and 50% reported feeling highly satisfied and satisfied, respectively, with their current EMR, and 3% and 11% reported feeling very dissatisfied or dissatisfied, respectively. Some (19%) stated that they have considered changing their EMR, and 68% are unsure how EMR licensing fees for their practice are paid. EMR pain points most commonly experienced were: time-consuming, e.g., too many steps/click (70%); interoperability, e.g., difficulty sharing information across institutions or other EMR software (45%); data entry issues, e.g., difficulty entering clinical information, scheduling patient visits and reminders, or ordering multiple labs (38%); and poor workflow support (31%). The most useful aspects/features of their EMR software reported were availability of information, e.g., preloaded protocols, chemotherapy regimens and pathways (64%); data access (64%); and multiple access points, including remote access (37%). Conclusions: Satisfaction with EMR were generally positive among the mO/H surveyed. However, there are multiple deterrents to the efficient use of current EMR systems. This information is essential in the design of next-generation EMR (an Intelligent Medical Records system) to allow for incorporation of aspects most useful to the end-users, such as pathway access, preloaded information on cancer management as well as ease of access and portability, and a user experience that minimizes clicks and reduces physician time with EMR.

There are various existing technology that has been implemented to help an industrial sector to manage their attendance records. The use of current technology such as fingerprint biometric scanner and mobile devices as a complement to the software development will benefits to the industrial sector in order to enhance their services. This paper described a fingerprint biometric-based and web-based management system integrated with short message service (SMS) notification for attendance records of the employees known ANotify. It was specifically developed for an industrial sector that uses fingerprint as biometric features for employee attendance, is able to store records of employees’ attendance in organized, systematic, and the SMS alert notification to the supervisors about the employee attendance reports. This system was developed based on System Development Life Cycle (SDLC) as a methodology. A user acceptance test was conducted with thirty (30) respondents to determine the effectiveness of the system by evaluating the questionnaire which was categorized into three (3) parts included user interface satisfaction, perceived ease of use, and integration of SMS notification. Results of the system evaluation showed that the system has a positive impact and to be well accepted by users, convenient, economic and reliable method of notification for the attendance records

Objectives:Technological development and the need for electronic health records management resulted in the need for a computer with dedicated, commercial software in daily dental practice. The alternative for commercial software may be open-source solutions. Therefore, this study reviewed the current literature on the availability and use of open-source software (OSS) in dentistry.Methods:A comprehensive database search was performed on February 1, 2017. Only articles published in peer-reviewed journals with a focus on the use or description of OSS were retrieved. The level of evidence, according to Oxford EBM Centre Levels of Evidence Scale was classified for all studies. Experimental studies underwent additional quality reporting assessment.Results:The screening and evaluation process resulted in twenty-one studies from 1,940 articles found, with 10 of them being experimental studies. None of the articles provided level 1 evidence, and only one study was considered high quality following quality assessment.Twenty-six different OSS programs were described in the included studies of which ten were used for image visualization, five were used for healthcare records management, four were used for educations processes, one was used for remote consultation and simulation, and six were used for general purposes.Conclusions:Our analysis revealed that the dental literature on OSS consists of scarce, incomplete, and methodologically low quality information.

AbstractResearchers claim that data in electronic patient records can be used for a variety of purposes including individual patient care, management, and resource planning for scientific research. Our objective in the project Integrated Primary Care Information (IPCI) was to assess whether the electronic patient records of Dutch general practitioners contain sufficient data to perform studies in the area of postmarketing surveillance studies. We determined the data requirements for postmarketing surveil-lance studies, implemented additional software in the electronic patient records of the general practitioner, developed an organization to monitor the use of data, and performed validation studies to test the quality of the data. Analysis of the data requirements showed that additional software had to be installed to collect data that is not recorded in routine practice. To avoid having to obtain informed consent from each enrolled patient, we developed IPCI as a semianonymous system: both patients and participating general practitioners are anonymous for the researchers. Under specific circumstances, the researcher can contact indirectly (through a trusted third party) the physician that made the data available. Only the treating general practitioner is able to decode the identity of his patients. A Board of Supervisors predominantly consisting of participating general practitioners monitors the use of data. Validation studies show the data can be used for postmarketing surveillance. With additional software to collect data not normally recorded in routine practice, data from electronic patient record of general practitioners can be used for postmarketing surveillance.

Due to the recent establishment of the Global Genome Biodiversity Network (GGBN) data portal, we have extended Specify collections management software (http://www.sustain.specifysoftware.org/) to more effectively manage, publish, and integrate tissue and DNA extract data by adding support for the GGBN data schema. Specify’s database design now includes a number of data fields and tables proscribed in GGBN standard vocabularies. We also realigned some of the underlying table relationships to address the needs of specimen curation and collection transactions for extract and tissue samples. Specify now also supports “Next Generation” sequencing metadata with fields to record NCBI SRA ID numbers for web-linking tissue and extract metadata to entries in the NCBI SRA databases. With the ongoing evolution of the TDWG Darwin Core (DwC) standard for specimen data exchange, we generalized Specify 7’s data publishing capabilities to export collections data to any DwC or other standards-based, exchange schema. This generic, external schema mapping capability enables Specify collections to design and map data packages to integrate their data with any community aggregator or collaborative project database based on Darwin Core or other community standard-based format. The development of these versatile new integration capabilities was in collaboration with, and through financial support from GGBN. This talk will highlight these changes in the context of delivery of museum tissue and extract data records to the GGBN data portal for aggregation.

Purpose – This paper aims to present a conceptual methodology, named herein as object-oriented diplomatics, based on a presentation given by the author at the Digital Diplomatics 2014 conference. This methodology centers on building digital records capable of supporting their authenticity over time and when removed from their original systems by extending archival diplomatics theory by leveraging object-oriented programming (OOP) principles. Design/methodology/approach – This paper presents new method for supporting the presumption of authenticity of digital records through extending archival diplomatics concepts into OOP principles when creating digital records within a record-keeping system. Findings – This paper is based on a preliminary research being conducted during the design of a government digital archives. This concept was used as a core design element for their digital archives and has thus far shown great promise in articulating and encapsulating those essential data elements that support the presumption of authenticity across a wide diversity of record types. Originality/value – This paper presents a new approach to support the presumption of authenticity of digital records by utilizing concepts from archival diplomatics leveraged with OOP principles. It is the hope of the author that this paper will initiate a deeper collaboration between archives and records management professionals and software developers in the design and implementation of digital repositories.

Abstract Objective Consensus that enhanced teamwork is necessary for efficient and effective primary care delivery is growing. We sought to identify how electronic health records (EHRs) facilitate and pose challenges to primary care teams as well as how practices are overcoming these challenges. Methods Practices in this qualitative study were selected from those recognized as patient-centered medical homes via the National Committee for Quality Assurance 2011 tool, which included a section on practice teamwork. We interviewed 63 respondents, ranging from physicians to front-desk staff, from 27 primary care practices ranging in size, type, geography, and population size. Results EHRs were found to facilitate communication and task delegation in primary care teams through instant messaging, task management software, and the ability to create evidence-based templates for symptom-specific data collection from patients by medical assistants and nurses (which can offload work from physicians). Areas where respondents felt that electronic medical record EHR functionalities were weakest and posed challenges to teamwork included the lack of integrated care manager software and care plans in EHRs, poor practice registry functionality and interoperability, and inadequate ease of tracking patient data in the EHR over time. Discussion Practices developed solutions for some of the challenges they faced when attempting to use EHRs to support teamwork but wanted more permanent vendor and policy solutions for other challenges. Conclusions EHR vendors in the United States need to work alongside practicing primary care teams to create more clinically useful EHRs that support dynamic care plans, integrated care management software, more functional and interoperable practice registries, and greater ease of data tracking over time.

This paper explores the use of a mediator/wrapper approach to enable the search of an existing library management system using different information retrieval protocols. It proposes an architecture for a software component that will act as an intermediary between the library system and search services. It provides an overview of different approaches to add Z39.50 and Search/Retrieval via URL (SRU) functionality using a middleware approach that is implemented on the BISIS library management system. That wrapper performs transformation of Contextual Query Language (CQL) into Lucene query language. The primary aim of this software component is to enable search and retrieval of bibliographic records using the SRU and Z39.50 protocols, but the proposed architecture of the software components is also suitable for inclusion of the existing library management system into a library portal. The software component provides a single interface to server-side protocols for search and retrieval of records. Additional protocols could be used. This paper provides practical demonstration of interest to developers of library management systems and those who are trying to use open-source solutions to make their local catalog accessible to other systems.<br />

The National Archives and Records Administration (NARA) and EU SHAMAN projects are working with multiple research institutions on tools and technologies that will supply a comprehensive, systematic, and dynamic means for preserving virtually any type of electronic record, free from dependence on any specific hardware or software. This paper describes the joint development work between the University of Liverpool and the San Diego Supercomputer Center (SDSC) at the University of California, San Diego on the NARA and SHAMAN prototypes. The aim is to provide technologies in support of the required generic data management infrastructure. We describe a Theory of Preservation that quantifies how communication can be accomplished when future technologies are different from those available at present. This includes not only different hardware and software, but also different standards for encoding information. We describe the concept of a “digital ontology” to characterize preservation processes; this is an advance on the current OAIS Reference Model of providing representation information about records. To realize a comprehensive Theory of Preservation, we describe the ongoing integration of distributed shared collection management technologies, digital library browsing, and presentation technologies for the NARA and SHAMAN Persistent Archive Testbeds.

Design/methodology/approach This research paper applied a bibliometric survey, where a quantitative survey of the literature pertaining to the study of e-records management in the ESARBICA region, covering the period from 2000 to 2016, was conducted applying bibliometric methods. The survey aimed at providing descriptive data that cast a spotlight on the features and development of the e-records management base literature in the ESARBICA region. Findings The research data display a lamentable outlook in the contribution to the electronic records management body of knowledge from the ESARBICA region. Few research articles from professionals in the records and archives management are being published. These figures call for increased investments in electronic records management research by institutions in ESARBICA, as management of electronic content has become the centre of political and socio-economic development. Follow-up studies need to be done to counter limitations placed on this research paper. The findings show that there is under production of research publications in the ESARBICA region. The region only contributed 2 per cent of the total world output in the period under review and in the study of electronic records management from journals indexed by Scopus. Research limitations/implications A bibliometric study places researchers at the mercy of analysing incomplete information due to limitations of resources. The variance in use of terminology (key words) by authors in published research articles may entail some being left out in an analysis of articles the same subject matter. As much as due diligence was placed on using Boolean search methods to counter such limitations they are unavoidable. An interpretation of bibliometric or citation analysis research is subjective as some analysts may label results incomplete or unreliable; hence, this paper finds itself in the same predicament. Inability to access the Thompson Reuters Web of Science database left the authors with Scopus as the only option, as Google Scholar was overlooked due to difficulties of having to rely on third-party software for analysing its indexed content that are mostly inaccurate and or ambiguous. Practical implications The findings of this study help uncover areas in e-records management, which have been researched over the years, and identify the prominent e-records management researchers in the ESARBICA region. Originality/value A number of bibliometric studies have been conducted; however, none has been conducted to establish e-records management research trends in the ESRABICA region.

In this study, located in east of Turkey, for Lake Van basin proposed for the peak ground acceleration (PGA) dependent on, describes the attenuation relationships. Earthquake records in and around Van Lake Basin were used in this study. This data is obtained from Turkey. These are the acceleration records taken by Strong Ground Motion Recording Stations under the control of Republic of Turkey Prime Ministry Disaster and Emergency Management Authority Presidential of Earthquake Department. Accelerometer records of earthquakes occurred between 01 January 1976 and 31 December 2018 were compiled. For this purpose, earthquakes occurred in an area of approximately 200 km radius in and around Van province were investigated. For this study, 162 accelerometer records in EW and NS direction were compiled from 249 earthquakes with magnitude 4.0≤MW and acceleration value of 10.0cm/s2 ≤ PGA. A database was created with the earthquake record files obtained. Earthquake magnitude (MW), acceleration (gal= cm/s2), distance (R-km) etc. information for multiple regression analysis were used in these files. Multiple regression analysis was performed in IBM-SPSS software.

<p>The SIALH project aims to set up the Information System of the Alhambra, considered as tool for the knowledge, management and dissemination of the Monument, considered World Heritage by UNESCO. Based on a Geographic Information System (GIS), SIALH integrates thematic databases, process management systems and electronic records management systems on a common framework. The methodology used in the project follows the standard Metrica v3 for software developments. SIALH is built using free software and ensures interoperability. In addition to software development, SIALH involves other projects such as the geocoding of the Alhambra, new maps and orthophotos and the publication of augmented reality of the Alhambra.</p>

The study shows how information society is reflected in e-records (volatility, dynamism, mixed private and public spheres), how it transformed the records themselves (no physical aspect, complicated structure, separated elements), and how it conquered the human memory. The basic dilemma of long term preservation is that erecords are dependent upon hardware and software which change rapidly, therefore we are unable to preserve them unchanged. The study talks shortly about integrity and authenticity of e-records which are basic requirements, and then outlines the major preservation strategies (migration, emulation, technology preservation, post-custodial archives, cloud computing) used by archives. In the digital world archival science adopted a lot from information science which caused that standards (ISADg, EAD, OAIS) are the new milestones of archival science. The greatest „yield” of this cooperation is that the data management and procedures are automatable. However, archivists must keep their classical synthetic work in digital world, too: to know and describe the record creator agency, its economic, political and societal environment, to build the system of fonds, etc.

An overview of the application software for storage, integration and management of Land Records and Environmental Data has been presented. The title of the software is “Environmental Land Information System”, abbreviated as “ELIS”. Modern hardware technologies like Total Station, Satellite, GPS, Digitizer, scanner along with computer have been used where software technologies like GIS and RDBMS have also been used in capturing, collecting, storing, integrating, and retrieving data. Technologies like plotter has been used in generating various maps including mouza map. A Bangla interface was also integrated with the system for writing Bangla scripts on maps and other land records. Two separate types of databases have been created – one for attribute data and the other for spatial data. The application software has the capability to append new data- attribute and spatial, to the databases to update and enrich the databases. This article gives a conceptual view of the software. The main emphasis in developing the software was in the use of GIS and Bangla interface.

This article examines archival description generated by the archival management software for records creators in Croatia. Authors explain practices with finding aids in records creators and Croatian National Archives institutions. The authors outline the creation and linking of ISAD(G) and ISAAR (CPF) descriptions in the tool-supported practice. The automated creation of an inventory in a human-readable form of “classical” printable finding aid as well as in the EAD3 1.0 XML form is also explained in the article. In the end, considering the significance of finding aids for records and archival management abilities, as well as for information and knowledge sharing abilities of records creators and institutions with archival holdings, the authors propose a maturity model for those institutions based on automation and usability of their finding aids.
