Trade literature can be used as primary source material for the study of subjects ranging from business history to the history of advertising. Historical collections of trade literature exist in museum, academic and special libraries in the UK and in the United States. Collections of current trade literature are also being developed as important resources for users by an increasing number of academic libraries supporting design- or construction-related courses. Many such collections however remain uncatalogued, or only appear in in-house manual catalogues and are therefore largely inaccessible. This ephemeral material appears in a wide variety of formats and media, and can present particular difficulties in terms of organisation and documentation. The ARLIS/UK & Ireland Cataloguing and Classification Committee is currently working on guidelines to help libraries address these problems and encourage the online cataloguing of trade literature collections.

The digital cataloguing experience of Presidential Library is discussed. The integrated e-collection comprises digital copies of library materials, archival documents and museum objects, which requires designing methods for describing entries new to library preservation. The Presidential Library’s interdepartmental working group has developed principles and approaches toward integrating presentation and access to the library, archival, and museum resources into the single catalog in accordance with existing international standards. The Presidential Library acts as a methodological center developing special methods for describing diverse information resources. Methodological publications by Presidential Library are considered the logical extension of RUSMARC Application Examples guidance series intended for Russian bibliographizing institutions. The Presidential Library’s work within the framework of the National Standardization Program, National Electronic Library and the union catalog of electronic resources is also discussed. The Library participates in IFLA UNIMARC permanent committees and IFLA Subject Analysis and Access Section. The Presidential Library is an educational center for digital content cataloguing for libraries, and holds training work-shops. It enrolls university graduates in generating the descriptive metadata. The prospective vectors in cataloguing are examined, e. g. designing model description of digital collections and Metadata Encoding and Transmission Standard (METS) implementation.

The National Library of the Netherlands inititated a research project that aimed to assess the coverage of the aggregate collection of Dutch libraries. Their collections of foreign publications of an academic nature in some 20 subjects were compared with the collections of several authoritative German libraries. A sample of recently published monographs and current periodicals in various subjects that were owned by the German library with special collection responsibility in each subject was searched in the shared cataloguing system developed by Pica. On average, the coverage was c.50% for recently published monographs as well as current periodicals. In the second stage, two subject specialists were asked to judge the relevance for academic research in the Netherlands of the missing titles in each subject. After excluding non-relevant titles, the coverage was still rather low, on average 70%. Some disciplines in the humanities score substantially lower. As a solution for shrinking collections, coordinated collection development, international library loan and information technology, important though they are, are inadequate in the short or medium term. To break the current impasse, additional financial measures are imperative

A review of: Ranger, Sara L. “Grey Literature in Special Libraries: Access in Use.” Publishing Research Quarterly 21.1 (Spring 2005): 53-63. Objective – To examine the barriers to making grey literature (literature not controlled by commercial publishers) easier to access in special libraries. Design – Interviews. Setting – Variety of special libraries (government, corporate and specialized academic) in the United States. Subjects – Sixteen librarians from fourteen organizations in Washington, Michigan and Texas were interviewed. Four of the organizations were government libraries, four were corporate libraries and five were specialized academic libraries. One of the interviews was not used because the organization did not maintain a collection of paper-based grey literature. Methods – Librarians were selected as possible interview subjects via three methods: some were previously familiar with the author; some were referred to the author by friends, family and colleagues; two candidates volunteered in response to a presentation of the project at a professional meeting. Interviews were conducted between February 2002 and May 2003. A standard set of seven questions were used, but often followed with further questions. The interviews were conducted either in the library or the librarian’s office. The interviews were tape-recorded and the answers were written down. Interviews typically lasted between fifteen and thirty minutes and asked about the current state, holdings, access and use of grey literature in the special library. Main Results – Results from the interviews suggest a wide variance in the percentage of users that access grey literature. Grey literature was used less in the corporate libraries than the academic and government libraries. The percentage of the collection made up of grey literature also varied widely between the different libraries. Reports were found to be the most popular form of grey literature, although most of the libraries reported owning conference proceedings and newsletters in addition to reports. One interesting observation found during the interviews was that most of the users of grey literature are also producers of grey literature. The librarians surveyed reported that some of the reasons for using grey literature included use in research, to write (often more grey literature), interest in the topic, for class assignments, as records of previous practices, for localized studies, and for creating models and practices. Results found that for the libraries surveyed, much of the grey literature remains uncatalogued and what has been catalogued was done using a variety of methods. Over half of the libraries surveyed had their grey literature accessible online. Conclusion – Two main reasons were cited as explanations for why grey literature was not used as much as it should be: lack of cataloguing and visibility. In many of the libraries surveyed, much of the grey literature had not been catalogued, making it difficult to find and use the resources. Reasons cited for not cataloguing grey literature include lack of time, funds and/or knowledge. As well, in many of the libraries surveyed, it was found that the holdings of grey literature were not readily visible to the users, so users were not even aware that it existed. To improve the awareness and accessibility of grey literature, the author recommends regional depositories for grey literature, international standards for cataloguing and more cooperation between special libraries.

The authors speculate on the essence of electronic collection studies as the key component of library e-science. They offer and substantiate the definitions of electronic document and electronic document in library collection. The ways to acquire e-documents to the libraries are discussed. One of the goals of e-collection studies is to adapt traditional concepts for electronic documents acquired by modern libraries; to describe key processes of e-collection development and use, namely cataloguing, systematization, efficient arrangement in the library virtual space, e-document relegation from the collections, etc. The book market (including the market of audio books) transformations in the context of digitalization and corresponding provisions of e-collection studies are characterized, with the special attention given to the COVID-19 experiences. The role of e-documents within the mixed library and information infrastructure is reviewed: the need for theoretical insights into the problem is emphasized. The authors conclude that e-documents should be studied within the framework of electronic collection studies, the component of library e-science.

Reviving the spirit of an earlier phase of cooperation, art librarians in the Netherlands joined together informally at the end of 1982 under the title ‘Overleg Kunsthistorische Bibliotheken’ (OKB); although this title remains in force, for international purposes the acronym ARLIS/NL was adopted in 1992. Meetings are held at least four times each year. The group helped to organise the 2nd European Conference of the IFLA Section of Art Libraries, at Amsterdam, in 1986, and prepared the contents of a special issue of Art Libraries Journal devoted to art libraries in the Netherlands, which appeared the following year. ARLIS/NL has also concerned itself with shared cataloguing, favouring TINLIB, and with coordinated collection policies, in association with Dutch university libraries and the Royal Library, while as a result of an ARLIS/NL initiative all member libraries are to submit periodicals holdings data to the Central Catalogue of Periodicals.

A Review of: Attebury, R. I., & Finnell, J. (2009). What do LIS students in the United States know about liaison duties? New Library World, 110(7), 325-340. Objectives – The two main objectives of this study were to determine the level of prevalence of liaison work in academic library job advertisements and to investigate whether the current library & information science (LIS) students are aware of liaison duties. Design – The mixed methods used in this study are job postings analysis and online survey. Setting – The research settings were the following: (1) Online academic job advertisements published between November 15, 2007 and January 15, 2008 and collected from Chronicle of Higher Education’s Web site and lisjobs.com; (2) Fifty-three electronic mail lists of ALA-accredited library schools in the US. Subjects – The subjects of the study were 313 online academic job advertisements and 516 LIS students. Methods – The sample size and methodology for the first part of this study were based on four previously published studies. Duplicated job postings were removed and the remaining were organized into 15 categories of access/public services, reference, instruction, bibliographer/subject specialist, combination (instruction and reference), archives/special collections, special libraries, director/dean, department head or coordinator, interlibrary loan (ILL), systems/web development, cataloguing, outreach, and acquisitions/collection-development. Only those job ads containing the term “liaison” were included in the analysis. For the second part of the study, the authors conducted an online survey. They attempted to investigate the knowledge of LIS students on liaison librarianship, to measure the level of exposure to liaison responsibilities in their course work, and to gauge the confidence of the individual in their ability to become successful liaison librarians. The survey was distributed among 53 LIS school electronic mail lists, resulting in 516 respondents. Main Results – The job ad analysis revealed that 29% of job postings were directly related to liaison duties. The liaison component of the positions related to access/public services, instruction, bibliographer/subject specialist, special, and outreach were the highest (50% or more). The liaison activities described in the job ads related to reference, a combination of reference and instruction, ILL, department head/coordinator, and system/Web development were also high (29% to 50%). There is analysed the activities of digital libraries partnership Hathi Trust Digital Library (HTDL), arose in October 2008 in the United States as a collaborative repository of digital collections of library systems of 13 universities in the U.S. Middle West and digital collections of 11 universities in California (now numbering 124 libraries). In the United States — the leader of IT-technologies — has been accumulated the vast experience in the field of organization of electronic resources, carried out a large-scale reorganization of library industry, the results of which are not sufficiently covered in the domestic library science. For the first time, the Russian library community is invited to learn the specific experience of the formation and operation of the partnership of digital libraries HTDL, based on the principle of institutional cooperation and coordination of management solutions in the conservation and maintenance of electronic collections.The main tasks of the distributed data warehouse belonging to the partnership group of large research libraries are: providing access to the digital collection first of all for collective users, libraries — co-founders; preservation of intellectual heritage through reliable and accessible electronic representation, improvement of open technological infrastructure. The HTML concept is based on the conscious preservation of the specificity of research libraries, when the user is offered a body of special catalogued literature, and the ranking of search results is not influenced by the commercial interests. It is noted that HTDL is built on the basis of an extensive network of interlibrary entities in the United States with extensive cooperation in the field of administration, cataloguing, and storage of printed materials.There are considered the priority achievements of Hathi Trust Digital Library: development of the new models of interlibrary cooperation, efficient distributed management structure, transparent scheme of payment calculation of infrastructure maintenance. The dynamics of the development of this resource from the moment of formation to the present time is analysed.

The abridged translation into Russian of the annual report of OCLC (Rise beyond OCLC Annual Report 2020–2021) is offered. The traditional vectors of expanding accessibility and functionality of the company’s core product, namely WorldCat, and increasing focus on document delivery and professional partnerships with publishers’ are demonstrated. Special attention is given to linked data and project to involve wide public worldwide in cataloguing.The majority of public and academic libraries prefer using the world catalog WorldCat thus avoiding large scale cataloguing processes. Unfortunately, this country drags heels about using this treasure: Cyberleninka joined the WorldCat in 2016; the Russian union catalog Libnet comprises 13.6 mln recors (as for 2020), and the Union Catalog of sci-tech literature – 1.2 mln entries (as for 2022). At the same time, based on OCLC Annual Report 2020–2021 data, the WorldCat embraces 515 mln records reflecting 3.1 billion items in library collections. Such impromptness may be due to Russian professionals’ ignorance of the English language.

Foreign law, whether a subject of study in itself within the domain of comparative law, or invoked under a rule of conflict of laws to resolve a crossborder issue, is an essential library resource. In jurisdictions where foreign law must be pleaded and proved as a fact, it is up to the parties to demonstrate what that law is, in default of which the Anglo-American court will generally presume it to be the same as municipal law. In other, generally civil-law, jurisdictions it may be up the court to appoint an expert; foreign law may be treated either as law or as fact, depending upon the jurisdiction. Because family law, succession and donations are, in civil-law countries, largely ruled by personal law and because personal law may be determined by reference to facts of nationality, domicile, religion and ethnic identity, considerable academic sophistication is demanded of foreign and comparative law librarians. The escalating costs of legal materials and the difficulty of cataloguing and maintaining collections of rarely-used materials in hard languages pose additional obstacles. In the United States particularly, acquisition of foreign materials has perceptibly declined since the early 1980s. Only a handful of law libraries in the world possesses the financial, logistical, linguistic and technical wherewithal to aspire to collecting materials from all or most countries; for those, managing acquisition and selection is the main challenge. Collecting official gazettes, session laws and case reporters from many jurisdictions makes enormous demands upon space and record-keeping; microform collection is not in many cases an alternative. Where it is, it creates its own special demands.

Purpose – The purpose of this paper is to discover and enumerate the elements of the digital library and measure how much an individual library was equipped with the characteristics of the digital library accordingly. Design/methodology/approach – For this purpose several steps were taken. First, research on the characteristics and the representative services of the digital library were comprehensively reviewed. Second, examples of the library services that were being considered for the next generation digital library were investigated to compare with the conventional library services. Third, the elements of the conventional and the digital libraries initially extracted were examined by ten experts. These experts were composed of researchers and professors specializing in digital libraries, and career librarians who had worked in the digital library field for at least ten years. The elements were verified through discussions with them. Fourth, 19 university libraries, 16 public libraries, and 17 special libraries were selected in accordance with the verified elements of the conventional and the digital libraries to measure the digitization level of the libraries. Findings – The following is a summary of the evaluation of the first eight evaluation items, which are covered in Part 1 of this study. The remaining five items will be covered in Part 2. First, the digitization level of the acquisition element and classification and cataloguing was significantly high. Second, book collections excluding “digital video,” reference service, library program service, and space service showed significantly conventional characteristics. Third, in the element of circulation services, the item of lending books offline and returning the books scored 92.64 and the item of lending-returning with use of smart devices and social media obtained significantly low scores. Also, the average in using the book return desk for the circulation service was 81.39, much higher than using the automatic book return machine, which scored 18.61, by a wide margin. Fourth, in the element of user services, the digital item of providing support for mobile services related to the library resources demonstrated higher scores than the conventional item, but other items showed more conventional characteristics. In particular, the item of duplication services for material scored 94.99, but other items such as support for publication/bookbinding services using digital publication tools and devices obtained significantly low scores. Originality/value – This study is first study in the world to measure the level of digitization of the library. Therefore, hereafter, each library will be able to measure and determine its digital position based on these elements. Up to now, some research was performed in pursuit of extracting the elements of a library but it has relied solely on literature review. Comprehensive research had never been performed as in this study.

In the age of digital archives and online data consultation, bibliographic research is considered as a key tool for supporting scientific research and study. The online catalogue allows the achievement of more ambitious aims and global interest thanks to its ability to associate data relating to the geographic contextualization of the catalogued editorial products (deduced from the title and content) with the search for more traditional bibliographic data through the inclusion of a specific and standardized ‘field’. Successively, the locations identified by the cataloguer are georeferenced by using GIS applications, which allows the simultaneous view of the distribution of global and local geographical contexts specific for each item owned by a library, archive or museum. The usefulness of such an application lies in the possibility for the library to have a greater awareness of its collection, thus permitting the acquisition of an additional element of evaluation in the management and planning of purchases and donations. In this way, the ability to filter the information from OPAC search will be combined with the basic research carried out by the user by selecting only the libraries in possession of works related to a specific geographical context, involved in different specific studies (literature, landscape, environment). Although this ability is still limited to a few specific studies, the use of tools that allow an overview of the geographical distribution of places could represent an operating standard through the definition of a special protocol. These tools are now used mostly in experimental studies in which the use of open source software has enabled the creation of maps. This paper shows the state of the art of the applications worldwide presenting experimental case studies (i.e. Coos Bay, Oregon; Basilicata, Italy) and also suggests different applications in the field of national and international protocols of library cataloguing.

Abstract Objective – The purpose of this study is to explore collection development, cataloguing, processing, and circulation practices for tabletop game collections in libraries. This study used the term “tabletop games” to refer to the array of game styles that are played in real-world, social settings, such as board games, dice and card games, collectible card games, and role-playing games. Methods – An online survey regarding tabletop games in libraries was developed with input from academic, public, and school librarians. Participants were recruited utilizing a snowball sampling technique involving electronic outlets and discussion lists used by librarians in school, public, and academic libraries. Results – One hundred nineteen libraries answered the survey. The results show that tabletop games have a presence in libraries, but practices vary in regard to collection development, cataloguing, processing, and circulation. Conclusion – Results indicate that libraries are somewhat fragmented in their procedures for tabletop collections. Libraries can benefit from better understanding how others acquire, process, and use these collections. Although they are different to other library collections, tabletop games do not suffer from extensive loss and bibliographic records are becoming more available. Best practices and guidance are still needed to fully integrate games into libraries and to help librarians feel comfortable piloting their own tabletop collections.

Africana resources and collections: three decades of development and achievement, edited by Julian W. Witherell, and published by Scarecrow Press in 1989, is a festschrift honouring Hans Panofsky, a pioneer in Africana librarianship. It was, and continues to be, a fitting tribute to a man who was a leading figure in the promotion of co-ordinated co-operative programmes for acquisitions and bibliographic control of Africana from 1959 to 1989. This one volume with contributing articles by Hans’ Africana colleagues contains a wealth of historical information about librarianship, cataloguing, and the acquisitions of Africana for that time period. An update of this volume is now due.Within the last two decades, there have been many significant developments in American libraries. This short presentation will not attempt to bridge that distance. Instead, it will offer a brief accounting of fairly recent Africana activity in selected American libraries.

Five libraries in the UK and the Republic of Ireland - the National Libraries of Scotland and Wales, the university libraries of Oxford and Cambridge, and Trinity College Dublin Library - can claim material from publishers through the Copyright Libraries' Agency, while deposit with The British Library, which maintains the Legal Deposit Office, is obligatory. In spite of problems caused by diverse sources of funding, there is much incentive and pressure to cooperate, and efforts have been made, particularly since 1988, to coordinate the activities of all six libraries. The Mellon Microfilming Project aims to film important scholarly collections in Britain and Ireland to agreed archival standards, and to improve access to the Register of Preservation Microfilms. A Working Group on Legal Deposit identified as areas for fruitful collaboration the coordination of acquisition of serials and of some types of monograph, and retention policies; some savings have already been made. A third exercise, a pilot project for shared cataloguing, aimed to maximize the utility to all libraries of the BL's National Bibliographic Service and minimize costs in the participating libraries; the Shared Cataloguing Programme itself started in September 1993.

Canadian visual resources professionals believe a national strategy would raise the profile of their group who, although well known elsewhere, are not well known in Canada. Technology has made networking to share cataloguing and participation in electronic communications feasible, but many libraries do not have access to national utilities. Although digital capture and interactive electronic image storage and retrieval hold great promise for visual resources, there is a need for funding for retrospective conversion, imaging and the like. Networking makes authority work more important than it has been: a national strategy should include the formulation of a Canadian artist authority tool. Canadian iconography must be a component of any tools developed to describe art objects and their surrogates. In cooperation with CHIN Canadian art archivists and librarians must develop international standards for descriptive cataloguing. In addition, pressure must be brought to bear to end restrictive copyright for library users.

AbstractThe literature about disaster preparedness, especially digital disaster in the library, is particularly limited in Indonesia. With the growing number of library collections in digital form, it is important for libraries to implement strategies for the protection of digital collections from various disaster threats. The purpose of this study is to provide information on the readiness of selected special libraries in Indonesia on the issue of digital disaster. A questionnaire containing 15 closed and open-ended questions was disseminated through an online survey to 10 selected special libraries in Jakarta and Bogor, Indonesia. The results indicate that most libraries have implemented digital data protection and are able to analyze any potential digital disaster threats that may occur. Most of the libraries do not yet have specific policies regarding digital collections, however. The minimal number of digital collections compared to the number of printed collections is assumed to be the cause of the lack of attention and protection of digital collections. Consequently, libraries need to develop a digital preservation policy first before implementing a digital disaster management plan.

Special collections libraries collect and preserve materials of intellectual and cultural heritage, providing access to unique research resources. As their holdings continue to expand, special collections in research libraries confront increased space pressures. Off-site storage facilities, used frequently by research libraries for general circulating collections, offer a solution to these pressures. Using data from a survey of special collections directors from ARL member libraries, this article examines both the current use of off-site storage facilities and its impact on core special collections activities. At the International Conference on Retrospective Cataloguing in Europe: 15th to 19th Century Printed Materials, held in Munich in 1990, it became obvious that the conversion of catalogues of research collections to machine-readable form has a high priority in most European countries. However, the limited specialist use of automated short-title catalogues, the creation of which incurs considerable costs, should be weighed more carefully against the massive unsatisfied demand for post-1970 and current materials. The advantages that the automated catalogue brings to the user are not in question, but a catalogue in many volumes, like the guard-book catalogue in Cambridge University Library, can provide a range of access points that is unlikely ever to be equalled – a view evidently supported by some senior users. In smaller libraries retrospective conversion is more desirable and more easily achievable. But it is important for all librarians to understand why they are converting their catalogues, to place conversion in the order of priorities and to question if it is what the majority of users want.

Objective – The objective of this study was to examine and call attention to the current deficiency in standardized performance measures and usage metrics suited to assessing the value and impact of special collections and archives and their contributions to the mission of academic research libraries and to suggest possible approaches to overcoming the deficiency. Methods – The authors reviewed attempts over the past dozen years by the Association of Research Libraries (ARL) and the Association of College and Research Libraries (ACRL) to highlight the unique types of value that special collections and archival resources contribute to academic research libraries. They also examined the results of a large survey of special collections and archives conducted by OCLC Research in 2010. In addition, they investigated efforts by the Society of American Archivists (SAA) dating back to the 1940s to define standardized metrics for gathering and comparing data about archival operations. Finding that the library and archival communities have thus far failed to develop and adopt common metrics and methods for gathering data about the activities of special collections and archives, the authors explored the potential benefits of borrowing concepts for developing user-centered value propositions and metrics from the business community. Results – This study found that there has been a lack of consensus and precision concerning the definition of “special collections” and the value propositions they offer, and that most attempts have been limited in their usefulness because they were collections-centric. The study likewise reaffirmed a lack of consensus regarding how to define and measure basic operations performed by special collections and archives, such as circulating materials to users in supervised reading rooms. The review of concepts and metrics for assessing value in the business community, however, suggested new approaches to defining metrics that may be more successful. Conclusion – The authors recommend shifting from collection-centric to user-centric approaches and identifying appropriately precise metrics that can be consistently and widely applied to facilitate cross-institutional comparisons. Adopting a user-centric perspective, they argue, will provide a broader picture of how scholars interact with special collections at different points in the research process, both inside and outside of supervised reading rooms, as well as how undergraduate students change their thinking about evidence through interaction with primary sources. They authors outline the potential benefits of substituting the commonly used “reader-day” metric for tabulating reading room visits with a “reader-hour” metric and correlating it with item usage data in order to gauge the intensity of reading room use. They also discuss the potential benefits of assessing impact of instructional outreach in special collections and archives through measures of student confidence in pursuing research projects that involve primary sources.

The Herbert Sondheim, Inc. scrapbooks in the New School Archives and Special Collections document the activities of a notable early to mid-20th-century New York-based manufacturer of ready-to-wear women's fashions. A precursor to the contemporary fast fashion industry, Sondheim's employees sketched and kept detailed notes on materials and construction of garments produced by Parisian designers, which the firm then adapted into more affordable and easily obtainable apparel for American consumers. A retrospective visual materials cataloguing project resulting from a graduate student's interest in the collection led to the online availability of over 1200 sketches of fashion adaptations and challenged archives staff to develop appropriate descriptive metadata for a fragmented, ambiguous and complex documentary record.

Bridget Burke has been appointed associate dean for special collections at the University of Oklahoma (OU) Libraries starting next month. Burke will be responsible for the leadership and strategic vision for OU Libraries’ seven distinct special collections. Burke recently visited OU Libraries’ Western History Collections as a member of a team of western American history materials experts to assess and recommend best practices for preservation, acquisition of new materials and enhancement of both the collections’ web presence and its centrality to the scholarly fields of western and Native American history and culture. Currently, Burke is the director of the American Heritage Center at the University of Wyoming. She formerly served as the dean of libraries at North Dakota State University, as well as having held positions at the Boston College University Libraries, the University of Alaska Fairbanks, and George Mason University in Fairfax, Virginia.
